Every Fleet Manager Will Face a Misfuel

If you manage more than ten vehicles in New Zealand, statistical probability alone means you will deal with at least one misfuelling incident in the next 12 months. The question is not whether it will happen — it is whether your team knows what to do when it does, and whether you have the systems in place to minimise cost and downtime.

This checklist covers both prevention and response. Print it, share it with your drivers, and make sure your workshop and insurance contacts are current before you need them.

Prevention: Fuel Controls

  • Fuel card restrictions: Configure your fleet fuel cards to restrict to one fuel type per vehicle where your card provider allows this. Some providers (Mobil, Z Energy, BP commercial) offer per-card fuel type locking — use it.
  • Fuel type on the card: Include the fuel type in the vehicle name on the fuel card (e.g. "Unit 07 — DIESEL ONLY"). Drivers see this at the pump.
  • Fuel filler stickers: Apply "DIESEL ONLY" or "PETROL ONLY" labels inside every fuel filler door on every fleet vehicle. This takes five minutes and costs almost nothing.
  • Prevention devices: Diesel-only nozzle restrictors (e.g. Misfuel Defender, Diesel Cap) are available for diesel vehicles and physically prevent petrol nozzle insertion. These are particularly worthwhile for high-value diesel utes and SUVs.

Prevention: Driver Briefings

  • Include fuel type in every vehicle handover — verbal confirmation and written record.
  • New drivers must be briefed on diesel identification before taking a diesel vehicle.
  • Brief all drivers: do not start the engine if they suspect a misfuel — call the fleet manager immediately.

When It Happens: Response Protocol

The most important thing a driver can do after a misfuel is not start the engine. Your fleet response protocol should be:

  1. Driver calls fleet manager or fleet emergency line immediately
  2. Do not start engine; do not move vehicle under its own power

  4. Driver documents the incident: forecourt name, pump number, fuel type selected, approximate volume, time
  5. Fleet manager notifies fleet insurer with incident reference
